March 2011

I.                   Administrative & Finance:

·        Review of the rules and regulations by TLLCISI is ongoing and is being submitted for approval by the BOD.

·        As of the writing of this report (3/24) 142 proxies have been received.  We need 193 for quorum.  The GEOC committee has been meeting regularly and is tracking progress.

·        The new fitness equipment was delivered for the Covered Bridge Rec Center.  A personal trainer was brought in at no cost to instruct anyone interested in proper usage.

·        Through meetings with the Finance Committee and the employees and after a review of retirement plan options, it has been decided to maintain the current plan but change our rep.  I have interviewed several reps and determined that Arthur Reich from Investment Advisors Intl is the best fit for our needs, his background and my recommendation are attached.

·        I have discussed the collection policy with the Finance Committee.  It is important that a cohesive plan be put forth.  To that end, we will be scheduling a meeting with representatives from all the neighborhood associations to discuss our options.

·        I have started the process of creating a comprehensive IT/capital plan.  Quotes are being solicited.

 II.                Maintenance/Landscape:

·        A walk through of all HRUA buildings was done on 3/21 with Maintenance.  Most of the items identified were smaller maintenance and touch-up items.  The larger items that are being handled with the appropriate committees are replacement pool covers for the Stoneybrook and Covered Bridge Rec Centers, and a new roof for the Covered Bridge Rec center.  There is an issue with erosion of the paving block retaining wall on pond 5 due to sump discharge which needs to be addressed before it gets worse and it costs more to fix.  Quotes will be forthcoming.

·        Included in the board packet is a general month by month outline of the Landscape Department’s tasks.  Included are some specific plans for 2011.

·        Follow up on the drainage issues in the Hidden Hills Townhome area that were carried forward from 2010 is in process.

 III.             Other:

·        Recycling – There was not enough positive response from the underlying associations to continue this project.

·        We are doing research into hosting a Mother’s Day Brunch at the CRF.  We currently have a caterer in place and are working on details.

·        I have obtained pricing on several elliptical machines and have presented options to the Covered Bridge Rec Center Committee for selection per their request.
